Privacy Notice
Last updated: 12 October 2026
This notice explains how PNZ Advisory Ltd (“we”, “us”) collects and uses your personal data when you visit our website, get in touch with us, or work with us. We’re the data controller, and we’re registered with the Information Commissioner’s Office (ICO).
What we collect
Depending on how you deal with us, we may collect:
- Contact details, such as your name, email address, phone number, job title and organisation
- Enquiry and business information, such as what you send us through forms, email or meetings, and details of the projects we work on together
- Website and technical data, such as your IP address, browser type and how you use the site (see our Cookie Policy)
- Marketing preferences, such as whether you’ve asked to hear from us
- Job applicants’ information, such as CVs and covering letters, if you apply to work with us
- We collect this from you directly, from your organisation, from our website and from publicly available sources such as company websites and LinkedIn. We don’t knowingly collect special category data, and please don’t send it to us.
How and why we use it
| What we use it for | Our lawful basis |
|---|---|
| Responding to enquiries and preparing proposals | Legitimate interests (running our business and responding to you) |
| Delivering our services and managing contracts | Contract |
| Invoicing, accounting and keeping records | Legal obligation |
| Sending marketing emails to existing clients and contacts | Legitimate interests (and consent where required by PECR) |
| Sending marketing emails to new contacts | Consent |
| Analysing and improving our website | Consent (via cookies) |
| Recruitment | Legitimate interests |
Where we rely on legitimate interests, we’ve considered whether they’re outweighed by your rights, and we don’t think they are. You can ask us for more detail at any time.
Marketing
We’ll only email you marketing if you’ve agreed, or if you’re an existing client or contact and we’re writing about similar services. You can unsubscribe at any time using the link in our emails or by contacting us. We never sell your data.
Who we share it with
We only share personal data where we need to. This includes:
- Service providers who help us run the business, such as our CRM and website provider (HubSpot), project management and accounting tools, email and file storage (Microsoft), and meeting transcription tools
- Professional advisers, such as accountants, auditors, lawyers and insurers
- Clients or partners, where it’s needed for a project and we’ve told you
- Authorities, where the law requires it
These providers act on our instructions and are bound by data protection obligations.
International transfers
Some of our providers are based outside the UK, mainly in the US and EU. Where that’s the case, we make sure the transfer is protected, for example through the UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework or the ICO’s International Data Transfer Agreement or Addendum.
How long we keep it
We only keep personal data for as long as we need it:
- Client and project records: 6 years after the work ends
- Marketing contacts: until you unsubscribe, or after 2 years of no engagement
- Enquiries that don’t lead to work: 2 years
- Unsuccessful job applications: 6 months
Keeping it secure
We use sensible technical and organisational measures to protect your data, including access controls and encryption.
Your rights
Under UK data protection law you have the right to:
- Be informed about how we use your data
- Access a copy of your data
- Have inaccurate data corrected
- Have your data erased, in some circumstances
- Restrict or object to how we use it
- Object to direct marketing at any time
- Receive your data in a portable format
- Withdraw consent at any time, where we rely on it
To use any of these, contact us using the details below. We’ll normally reply within one month, and it’s free.
Complaints
We’d like the chance to put things right first, so please get in touch. You can also complain to the ICO at ico.org.uk or on 0303 123 1113.
